You want an app, but you do not code. Here is how to choose based on the time you can give the project and the help you will need afterwards.

Imagine replacing your team’s scattered messages with a shared schedule. An agency, a freelancer or an AI tool can help create it. To choose, start with one question: who will handle decisions, testing and problems once people are using the schedule?

An agency to bring several skills together

An agency can combine screen design, development and project management. This may suit you if you want one contact to coordinate several specialists or have little time to organise the work yourself.

Check what the quote actually includes. Moving your files, testing with your team, training and fixes after delivery are not necessarily included. Ask who will respond when an employee can no longer sign in.

You will still have decisions to make: who sees the schedule, who can change an appointment, and what happens when someone is absent. A provider can help you describe these rules; they need your knowledge of the business.

A freelancer to work with a named person

A freelancer may suit a clearly defined need, with direct communication. Look at their previous work, availability and ability to explain their proposal. Their employment status alone does not predict the price or the quality of the result.

Ask how another person could take over: accessible files, written explanations, hosting accounts and backups. Have them explain what support is available during absences and after delivery.

An AI tool if you want to follow construction

With an AI tool, you describe the need and check what gets built. Start by trying one small task, such as adding and moving an appointment. You will see whether you understand its questions and can correct the result.
